Does my apartment have a maximum occupancy?
Usually, yes. Several municipalities limit the amount of people that can live in an apartment. If they don’t, your lease states the maximum occupancy. If you do not adhere to town/city guidelines and/or your lease this will be grounds for immediate lease termination. Please contact your management or the city for more information. -
How long is the lease term? Do you offer month-to-month leases?

Can I sublease or rent out the property through short-term rental platforms like Airbnb?
No, subletting or renting through platforms such as Airbnb is not permitted under any circumstances. -

Application Process

How do I apply for an apartment?
To apply, select your desired property and click “Apply Now” on the listing page: Property Listings. -
How long are applications valid, and can they be used for other units?
Applications are valid for 30 days and can be used for any of our available units. After 30 days, you’ll need to submit updated pay stubs (if applicable) and request an extension. We may request additional information for approval. -
What is the application process, and how long does it take?
The timeline depends on how quickly you submit all required documents. Applications can be processed in as little as 48 hours if all necessary information is provided. Missing documentation will place your application on hold. -
What documents are required with my application?
- Photo ID (e.g., driver’s license)
- Proof of income (as applicable):
- 3 recent pay stubs showing gross income, company name, and your name
- Documentation of any rental assistance, including your caseworker's contact information
- Offer letter (if applicable), including company details and salary information
- Previous landlord’s contact information
- Employer and/or caseworker’s contact information

What are the qualifications for renting a property?
Applicants must meet the following criteria:
- Income (gross) of at least 3 times the monthly rent (or 3 times the portion paid if receiving rental assistance)
- Positive rental history and a reference from a previous landlord
- A demonstrated history of repaying debts

Can you hold an apartment for me?
We can hold an apartment for approved applicants who have paid the security deposit. Once the deposit is received, the unit will be reserved for you and unavailable to others. -
What is required before moving in?
Before moving in, you are required to pay:
- Security deposit equal to one month's rent
- First month’s rent Any prorated rent will be credited to the second month.

What is the security deposit amount, and is it refundable?
If you fulfill the lease terms, return the property in good condition, and do not cause damage, your full security deposit will be refunded within 14 days of moving out. However, breaking the lease or damaging the property may result in forfeiture of part or all of the deposit. -
Who is required to be on the lease?
All individuals over the age of 18 must apply and be listed on the lease. Occupants under 18 must also be listed on the application, along with their full names and dates of birth, as required by city regulations. -
Do you accept co-signers? Who needs one?
Co-signers are generally accepted. Applicants who do not meet the rental criteria independently may apply with a co-signer. The co-signer must meet all rental criteria independently. -
Do you accept security deposit and rent guarantee programs like Qira and Guarantors?

How do I pay first month’s rent and security deposit?

Online: Visit rentvine.com and sign into your portal. If you haven’t accepted your portal invite, please request a new one from the office.
Note: Paying via ACH/bank account is free and highly recommended. Payments made via debit or credit card incur a third-party processing fee. This fee is not collected by our team and can be adjusted or removed. -
Dropped Off (not mailed): Ensure checks or money orders are made payable to Rooted Maintenance and Development LLC and dropped of to the following post office box: 402 Feura Bush Road #55 Glenmont, NY 12077
Important: Do not send blank money orders, as they can be stolen and cashed. Cash should never be mailed, as mail theft has occurred. We recommend using our other secure payment methods.
Due to mail speed, first month’s rent and security deposit must be dropped off promptly; payments may be mailed for future month’s rent. Please check post office hours before going. - Via PayNearMe (cash payment in-store): Sign into your portal and follow these directions: PayNearMeInstructions
- Security deposit must be cleared 6 days prior to move in. If you are looking to move in immediately, only a money order or PayNearMe is accepted.

Do you report on-time payments to credit bureaus?
We report on-time rent payments to major credit bureaus, helping to build your credit.
Renter’s Insurance

Do I need renter’s insurance, and what does it cover?
Yes, renter's insurance is required. It covers:
- Personal Belongings: Protection against theft, fire, water damage, and other unexpected incidents.
- Liability Coverage: Protection in case of accidental damage to the rental property or neighboring units.
To submit proof of insurance, please upload a copy of your policy to your Rentvine portal or email it to us at office@rooted518.com. Be sure to list Rooted Maintenance and Development LLC as additional interest on your policy (address: 402 Feura Bush Road #55 Glenmont, NY 12077)
Move-In Process

When can I move in?
You can collect your keys the day before your scheduled move-in date if you have:
- Provided proof of renter’s insurance listing Rooted Maintenance and Development LLC as an additional interest (address: 402 Feura Bush Road #55 Glenmont, NY 12077).
- Paid the first month's rent and the security deposit.
- Transferred National Grid utilities to your name (if applicable) with the correct start date. National Grid contact information: 1-800-642-4272, Monday - Friday, 7:00am - 7:00pm
Keys will be left in a lockbox for you onsite the day prior to move in; you will be sent the code as soon as the above items are reviewed. Your move in date remains the same.
Please note, the office is closed on weekends, so it is imperative you have all items in *during our business hours Monday-Friday 9am-4pm prior to the weekend, should your move in fall on a weekend, holiday, or early monday morning.

Can I move in early?
If you wish to move in earlier than the contract date, please contact the office. If all requirements are completed, we may allow early move-in with prorated rent. -
What is the move-in inspection process?
After moving in, *report any maintenance issues immediately. Please inspect the unit and report any damages or needed repairs via work orders, including descriptions and photos. This is essential for tracking issues and ensuring proper handling of your security deposit upon move-out.
